Job Description:

Background Information - Pakistan

UNOPS commenced operations in Pakistan in 1999 and significantly up-scaled activities from 2005 on wards to support populations affected by and vulnerable to earthquakes. In 2010, UNOPS opened a permanent office in Islamabad to support the Government of Pakistan and other partners to undertake humanitarian and reconstruction services, following the most devastating flood in the nation’s history.

UNOPS Pakistan has been implementing projects in the areas of early recovery and reconstruction of community infrastructure, project management and related monitoring and verification, community development, fund management, and procurement. Supported strategically by a regional operational hub and UNOPS headquarters in Copenhagen and within the overarching framework of the OneUN Programme, UNOPS Pakistan continues to deliver projects across the country under its core delivery practices of sustainable infrastructure, sustainable procurement, and sustainable project management.

UNOPS is based in Islamabad and has a provincial office in Peshawar. In addition, UNOPS is administrating Global Environment Facility (GEF) small grants on behalf of UNDP to support community led projects in Baluchistan. Similarly, UNOPS is also acting as the Local Fund Agent of the Global Fund. In Pakistan, UNOPS monitors a grant portfolio of $600,000,000 by undertaking regular and mandatory field visits across the country, including FATA, to provide independent monitoring of the activities carried out by the grantees of the Global Fund.

Background Information - Job-specific

The Reporting Assistant will serve as the central resource for written reporting, assisting the project manager in developing business proposals; collecting, organizing and updating complex sets of data; and drafting high level reports to management, clients and donors that will provide them detailed insights and drive key business decisions.

The assistant shall have excellent analytical and writing skills, allowing her/him to organize all sort of data in a systematic way and to draft highly structured reports combining comprehensiveness and concision.

S/he shall be capable of developing a holistic understanding of the projects dealt with by UNOPS Peshawar across their multi-dimensional aspects, including their socio-economic and political context, engineering aspects, environmental impact, procurement procedures, administrative and legal constraints, financial aspects, logistics challenges, communication strategies, etc.

S/he shall demonstrate mastery in the use of a series of softwares, including word processing (Word), data analysis (Excel), data visualisation (Tableau), presentation (PowerPoint) and publishing (InDesign, Photoshop) softwares, and be capable of producing quickly high-quality dashboards, executive summaries and other documents with a consistently flawless presentation.

Finally, s/he shall demonstrate enthusiasm for the activities of UNOPS, be highly self-driven and autonomous while at the same time thriving in a team environment, and show persistence and resourcefulness when facing challenges. 

Functional Responsibilities

·         Coordinate timely the collection of the required inputs from UNOPS colleagues and/or external stakeholders and maintain detailed information log.

·         Participate in field trips to project locations to assess and crosscheck the quality and accuracy of the information collected. Report on discrepancies and suggest corrective actions.

·         Organize the information collected in electronic databases.

·         Analyze the data collected in collaboration with the project manager and the different technical specialists (i.e. engineers, communication and monitoring associate, finance assistant, etc.).

·         Conduct secondary research in different fields, acquire knowledge independently if unfamiliar with the subject, organize, synthesize and check findings to ensure accuracy.

·         Share syntheses on the information gathered with the team, consult with the project manager and the relevant technical specialists on the best way to present/exploit the information collected, actively propose the best course of actions and suggest the best possible presentation of the information to achieve the objectives of the team.  

·         Prepare timely high-quality synthetical documents (such as dashboards, executive summaries, PowerPoints, reports, etc.) including findings and their analysis, progress made during the reporting period, outputs, outcomes and impacts of the projects, challenges and possible solutions, etc.

·         Produce tables, graphs, images, maps, etc. with the highest graphical standards to illustrate those documents.

·         Participate in meetings and take highly accurate minutes (based on audio records), synthesize discussions and decisions taken and share drafts timely (within 48 hours after the meeting) with the project manager.

·         Regularly update, in coordination with the project manager, project monitoring and reporting tools such as the matrix of risks, the logical frame, the action points tracker, etc.

·         Establish new or modified reporting methods and procedures to improve report content and information.

 Education/Experience/Language requirements

  Education

·         Bachelor’s degree in management, communication, political or social sciences or other relevant discipline.

·         Completion of secondary education combined with relevant years of experience may be accepted in lieu.

B. Work Experience 

  •  Minimum of 1 year of experience in report writing, preferably in the context of development projects (familiarity with main concepts and clients/donors’ requirements).
  • Knowledge of the UN system and familiarity with UNOPS procedures an advantage.

C. Languages

  •  Excellent knowledge of both written and oral English is essential.
  • Fluency in Pashtu is desirable.

D. Skills

  • Superior analytical skills.
  • Superior writing skills (including structure, conciseness, style, syntax, grammar, spelling and formatting).
  • Excellent command of Word, Excel, Power Point, Access.
  • Good command of InDesign and/or Photoshop.
  • Knowledge of Tableau is an advantage.
